How Booking Works
Stayover.ai acts as a facilitator, connecting you with third-party travel suppliers including airlines, hotels, and hotel distribution partners. Flight searches on our platform are powered by Google Flights data, and hotel bookings are processed through our hotel distribution partners. When you complete a booking through Stayover.ai, the contract for the travel services is formed directly between you and the applicable supplier. Stayover.ai is not a party to that contract and does not provide the travel services itself.
By completing a booking, you agree to the terms and conditions of the relevant supplier, in addition to the terms outlined in this policy.
The Stayover Model
Stayover bookings are designed to combine multiple travel components — typically flights and a hotel stay — into a single trip itinerary. However, each component is booked as an independent reservation with its respective supplier.
Important: Because each component is a separate booking, if one component is disrupted (for example, if a flight is cancelled by the airline), the other components are not automatically cancelled or refunded. You are responsible for managing each reservation independently, though our support team is available to assist you.
Pricing and How We Make Money
Stayover.ai generates revenue by adjusting pricing relative to wholesale flight and hotel rates we obtain from our supplier network. This pricing is at our sole discretion and may vary based on route, availability, demand, and other factors. Our pricing is always transparent: the price displayed at booking is the total price you pay. There are no hidden fees or surprise charges after checkout.
- All prices are displayed in US Dollars (USD) unless otherwise noted.
- Displayed prices include applicable taxes and mandatory fees at the time of display.
- Prices are subject to change until your booking is confirmed. A booking is confirmed only when you receive a confirmation email from Stayover.ai with a booking reference number.
- Hotel rates may vary based on selected dates, room type, and real-time availability from our distribution partners.
- Currency conversions, if applicable, are provided for informational purposes only and may differ from the amount charged by your payment provider.
24-Hour Cancellation
In accordance with United States Department of Transportation (DOT) regulations, flights booked seven (7) or more days before the scheduled departure date may be cancelled within 24 hours of booking for a full refund, regardless of the fare type purchased. This applies to all flights departing from or arriving in the United States.
After the 24-hour window has passed, the cancellation and refund terms of the applicable airline's fare rules will apply. The 24-hour cancellation right applies only to the flight component and does not extend to hotel reservations or other travel services.
Cancellation by You
- Flights — Flight cancellations are subject to the fare rules of the operating airline. Depending on the fare class, cancellation fees or forfeiture of the ticket value may apply. Some promotional or basic economy fares are non-refundable.
- Hotels — Hotel cancellations are governed by the cancellation policy of the specific hotel property, which is displayed to you at the time of booking. Policies vary and may include free cancellation deadlines, partial refunds, or non-refundable rates.
- Stayover.ai service fees — Any service fees charged by Stayover.ai are non-refundable once a booking has been confirmed, regardless of subsequent cancellations.
- Cancellation protection — Optional cancellation protection may be available at checkout. See the section below for details.
Cancellation Protection
Stayover.ai offers optional cancellation protection, which may be purchased at checkout for an additional fee. This coverage is designed to provide greater flexibility if your plans change.
- With cancellation protection: You may cancel qualifying bookings for a full refund of the booking value, subject to the terms and conditions of the protection plan. Qualifying reasons for cancellation are outlined in the protection plan terms provided at the time of purchase.
- Without cancellation protection: Cancellations are subject to the standard policies and fees of each supplier. Refunds, if any, will be determined by the applicable airline or hotel cancellation policy.
Refund Timelines
When a refund is approved, the processing timeline depends on the payment method used:
- Credit or debit card: Refunds are typically processed within 7 business days. Your card issuer may take additional time to post the refund to your account.
- Other payment methods: Refunds are typically processed within 20 calendar days.
- Supplier-initiated refunds: Refunds that originate from a supplier (such as an airline or hotel) may take up to 8 weeks to process, depending on the supplier's internal procedures.
- Refunds are issued in the original payment currency. Any differences due to exchange rate fluctuations are the responsibility of the customer.
Changes and Modifications
- Flights — Changes to flight bookings (such as date, time, or route changes) are subject to the airline's change fees and any fare difference. Not all fare classes permit changes.
- Hotels — Modifications to hotel reservations, including date changes or room upgrades, are subject to the hotel's modification policy and availability. Rate differences may apply.
- For assistance with changes to any booking, contact our support team at support@stayover.ai. We will work with the relevant supplier on your behalf, though changes are not guaranteed and may incur additional costs.
No-Shows
If you fail to check in for a flight or do not arrive at your hotel without prior cancellation, this is considered a no-show. No-show bookings are generally non-refundable.
- Flights — Failure to board a flight without cancellation will result in forfeiture of the ticket value. For round-trip itineraries, missing the outbound flight may also result in automatic cancellation of the return flight by the airline.
- Hotels — Hotel no-show charges are determined by the individual hotel's policy. In most cases, the first night's rate (or the full stay for non-refundable bookings) will be charged.
Baggage
Baggage allowances, including carry-on and checked bag limits, vary by airline and fare class. Applicable baggage fees are displayed before you complete your purchase, in compliance with US Department of Transportation disclosure requirements.
Stayover.ai is not responsible for baggage fees imposed by airlines. Any disputes regarding baggage fees or lost or damaged luggage should be directed to the operating airline.
Travel Insurance
Stayover.ai may offer optional travel insurance through licensed third-party insurance providers. Travel insurance is not automatically included with any booking. If you choose to purchase travel insurance, the coverage terms, conditions, exclusions, and claims process are governed entirely by the insurance provider's policy. Stayover.ai does not administer or adjudicate insurance claims.
We strongly recommend reviewing the full policy documents before purchasing travel insurance to ensure the coverage meets your needs.
Force Majeure
Stayover.ai is not liable for any failure to perform, or delay in performing, any obligation under this policy where such failure or delay results from circumstances beyond our reasonable control, including but not limited to:
- Natural disasters, severe weather events, or acts of God
- Epidemics, pandemics, or public health emergencies
- Government actions, travel bans, or regulatory changes
- Strikes, labor disputes, or industrial action
- War, terrorism, civil unrest, or political instability
- System failures, cyberattacks, or infrastructure disruptions
In the event of force majeure circumstances, Stayover.ai will make reasonable efforts to assist affected customers with rebooking or obtaining refunds in accordance with the applicable supplier's policies. However, we cannot guarantee any specific outcome, and any refunds or rebooking options will be at the discretion of the relevant supplier.
